How to Track Fruit Sold During Harvest

 

Go to your Vineyard Explorer > Fruit Lot Explorer

  1. If you know ahead of time you are keeping some fruit and selling some fruit from the same pick, we recommend creating two fruit lot codes
    1. For example: name the fruit lot you are keeping FL-21-CH-CCV and the fruit lot you are selling FL-21-CH-CCV-SOLD
  2. Alternatively, if you are receiving all tons from one pick and divide it after the fact, create one fruit lot code

If you know you are selling fruit before you pick:

If the first situation applies to you, process the fruit you are keeping for yourself as you would normally. For the lot you are selling, follow the steps below.

  • Click into the fruit lot you are selling (in our example FL-21-CH-CCV-SOLD)
  • Click Record action > Fruit Weight Adjustment
  • Zero out "New Fruit Weight Tonnage" and add a note that the fruit is sold and any additional details. Press "Record fruit weight adjustment"

If you decide to sell fruit after you pick:

If the second situations applies to you, follow the steps below:

  • Click into your fruit lot > Record action > Process fruit to volume/weight for the fruit you are keeping into a new lot code
  • Leave any fruit you are selling as "remaining"
  • Click into the fruit lot you are selling (what is remaining in that fruit lot code after your "Process" action)
  • Click Record action > Fruit Weight Adjustment
  • Zero out "New Fruit Weight Tonnage" and add a note that the fruit is sold and any additional details. Press "Record fruit weight adjustment"
  • Once your tonnage is zeroed out and you know you are not receiving more fruit on that lot, you can archive that fruit lot

Tracking Sold Fruit in Reports

If you want to track your total fruit weight sold, go to the Fruit Intake Report to see a list of all weigh tags and all tonnage received. From here you can export the list and tally what was sold vs total tonnage.

You can also tag sold fruit lots as "Sold" to easily sort for them in the Fruit Intake Report

Visit the Winery Activity Feed and filter by the "Fruit Weight Adjustment" action to see the change in tonnage of all sold fruit and export this list.

TTB Implications

Tonnage sold in this manner will populate in Part IV, Line 8, Column a of the 5120.17 TTB Report as "Removed". 

Additionally, if you do not want the sold fruit to populate your bond and the TTB report at all (the current recommendation will bring this fruit in through a Receive Fruit action in Part IV, Line 2 and then remove it with the Fruit Weight Adjustment in Part IV, Line 8 to net 0), an option is to add a second phantom bond to your account. You will have to create separate Fruit lots for the sold fruit and record Receive Fruits and Fruit Weight Adjustments. If you prefer this route, you will also be able to view all harvested weight from the Fruit Intake Report and search by these two bonds.
