AI Work Order Creation (Beta)

Create work orders hands-free by describing what you need right from InnoApp or the desktop.

What is AI Work Order Creation? 

AI Work Order Creation (Beta) lets you generate work orders by speaking or typing a natural-language request instead of creating out the work order manually. It's available now in InnoApp and on desktop, by request.  

How to activate AI work order creation

An account admin must use the InnoVint AI settings page to opt into any AI features. If AI features have been activated on the Setting page, then all users with write access (Team Member, Team Member Cannot Submit and Admin) will see the AI Analysis Import action, and any other activated AI features.

A Beta release: what to expect 

This feature is in Beta — it works well for the use cases described below, but there are still scenarios it doesn't yet handle. Beta usage — including requests that don't work — helps us determine what to refine and where to expand next.

Please review all AI-generated work orders before acting on them, especially if this is your first exposure to the feature. For supported request types, results are consistently accurate. The key variable is knowing which request types are supported today, and how to prompt them, which will take some experimentation on your part.

PLEASE NOTE!

Live work orders: Voice-created work orders are created directly in your open work orders, meaning cellar staff could act on them. Review each one carefully before it's picked up.

Deleting work orders: Because voice creation makes it easy to generate work orders quickly, you can delete work orders directly from InnoApp. Use the Edit button on the Work Order details page in InnoApp or the desktop to remove test orders or any work order with unexpected results.

Test widely: Use this Beta to explore where text or voice commands work well and where they don't — try a variety of requests, including ones you're not sure will work.

Go to the Work Order Explorer. If the feature is enabled, you will see it at the top right, next to your regular Create Work Order button:

If the feature is enabled, find AI Work orders in your Quick Actions menu:

How to use

Please note that AI Work Order Creation cannot create new lots, and cannot be generated by a user with limited owner permissions. 

  1. Click the "Generate Work Order" button on the desktop, or tap the Create AI Work Order on InnoApp
  2. Choose input method: type your request, or tap the microphone and speak it. State your request naturally, e.g. "Do punch downs on all fermenting reds" or "Assign a pump on Tank 102 to Jacob for tomorrow."


  3. Click or tap on "Generate"
  4. Watch the AI process it — it matches tanks/lots, finds users, and builds the work order live.
    1. If a name or vessel code doesn't match anything in the system (e.g., "Roger" isn't a user), it'll prompt you to pick a valid option from a list instead of guessing.
  5. Once created, open the work order and review all details before relying on it: title, assignee, due date, and the full list of lots/vessels included.

  6. If the AI got it wrong, in InnoApp, use the Edit > delete option on the work order and just ask again.  
    On the desktop, you can use the regular Edit work order feature to correct or delete the work order.
  7. Tip: check the example prompts — those are all supported request formats.

AI work order creation currently supports the following task types:

  • Analysis
  • Addition
  • Barrel Down
  • Transfer
  • Topping
  • Punchdown
  • Pumpover
  • Stir
  • Delestage
  • Custom Tasks

Not yet supported

The following are not yet supported:

  • Receive Fruit
  • Process Fruit
  • Drain
  • All other task types not listed above
  • Work Order Templates

Please note that AI Work Order Creation cannot create new lots, and cannot be generated by a user with limited owner permissions. 

 

Default work order attributes

Unless specified otherwise in your request, AI created work orders default to:

  • Assignee: the logged-in user
  • Due date: one week from creation

You can override either default directly in your prompt — for example, "Assign to Joe, due tomorrow."

  • "Do punchdowns on all fermenting reds"
  • "Assign a pumpover on Tank 102 to Jacob for tomorrow"
  • "Take an alcohol reading on 25-PN-RBC"
  • "Create a pumpover work order for all my tanks that are currently fermenting, requesting a Brix and Temp reading on each, and assign it to Maria due tomorrow"
  • "Transfer 102 into BT9"
  • "Schedule a punchdown for the Pinot in SS5. The instructions should say: Punch down for 5 minutes to wet the cap. Stand on the edge of the tank, but try really hard not to fall in."
  • "Show me all lots with an alcohol greater than 14% and request an alcohol reading on all of them"
  • "Write a topping work order for Lot 23-AL-SY-1 with keg7 as the topping wine"
  • "Create a Topping WO for 19-PN-AU-4, letting cellar staff choose the vessel to top from"

 

Frequently Asked Questions 

Q: Why is this called a Beta?

A: A Beta signals that the feature works well for the supported use cases above, but known gaps still exist and you're likely to encounter them. InnoVint is using real usage to guide what gets refined and expanded next.

Q: Should I worry about AI "hallucinations" in the work orders it creates?

A: For supported request types, the workflow is consistently reliable. The bigger factor is knowing which request types are supported today — review each generated work order to confirm it matches your intent, particularly early on.

Q: My request didn't create the work order I expected. What should I do?

A: Delete the work order using the Edit button on the Work Order details page, and try rephrasing your request using one of the supported task types above. Unsupported task types (Receive Fruit, Process Fruit, Drain, and Work Order Templates) won't work correctly yet.

Q: Can voice-created work orders be acted on immediately by cellar staff?

A: Yes — voice-created work orders generate directly into your open work orders, so review them promptly after creation.

Q: Can I change the default assignee or due date?

A: Yes. Include the override directly in your prompt, e.g. "Assign to Joe, due tomorrow."
